When it comes to forms on the visible part of a landing page or your company's blog, for example, you should consider adapting everything you have regarding the GDPR.
No matter what your industry is, all companies that have contacts in the European Union must adapt their forms to the GDPR and they must include:
Consent checkbox: a box or field to expressly request consent
It is also necessary to clearly explain how this data will be used.
A link to the privacy policies and acceptance of the policies, which cannot be pre-checked by default.
1 Create your checkboxes
It is very important for you to know that the General Data Protection Regulation requires companies to keep proof that their contacts have given their full consent to send them SMS or email marketing campaigns.
This approval can be generated when your contacts check a box on the forms on your website.
In Brevo's forms, it is possible to include different checkboxes so that your brazil phone number list contacts can mark the consents they want to approve. For example, they can choose whether they want to receive your product messages or if they only want to receive information from your blog.
2 Edit the descriptive text of the fields
It is very important to explain clearly and concisely how customers' personal data will be used.
That's why I stress the importance of having GDPR-compliant options on your registration forms, i.e. multiple checkboxes for permission, as well as editable sections explaining how and why you will use certain data.
Make sure this text is very clear and describes the reason why you are collecting information. The text should be different for each checkbox, and should explain the marketing activity you will be performing.
For example, if you are collecting data from your contacts so that you can send them advertising messages, you need to explain what advertising activities you will be carrying out.
I also recommend that you explicitly request consent from your contacts in the field title. You can include “I agree to receive information for…”.
3 Includes privacy and data policy
It is important that you provide your client or lead with two legal documents in a visible manner: the Legal Notice and the Privacy Policy.
You can add a direct link so that they can obtain more information about the legal notice, privacy policy and the use of cookies.
These documents should let your contacts know that you will store their information in your database and explain in more detail how you will use the data and what actions you will take.
You must also request explicit consent from the privacy policy. Again, this explicit consent must be verifiable, so it is mandatory to record the data that is captured (name, surname, email, IP, for example). This feat sometimes involves starting from scratch and recreating your subscriber list.
4 Create and segment your contact list
Also consider defining the different uses of the data, if you have different purposes you can create different boxes and lists for each consent.
For each checkbox you've created, you can send your contacts to different lists to ensure that you're sending your email marketing campaigns only to people who have given their consent.
That is, if you want to request permission from your clients to send them the blog newsletter and another to send promotional content, you will need to create two lists.
When you want to send your email campaign about your products, you can only send it to the list that has given their consent.
You can do this segmentation even before creating your form.
If you have a Brevo account you can follow the following tutorial called “ How to add multi-list subscriptions to your forms ”.
5 Get consent from your current contacts
You should always make sure that your client or prospect has given you the 'green light'. If you have not kept proof of this or are not entirely sure that you have requested permission in accordance with good practice, I recommend that you ask your contacts for consent again.
If you do not have or are not sure that you have the consent of your current contacts, you can send an email to your contact base to re-subscribe to the different lists you have created.
The important thing is to make sure you have a legal and clean database. This point is also important to have a more qualified contact base that is interested in your messages, which in turn translates into better opening rates and reputation.
